Terms & Conditions

Vita Tours Sri Lanka, operated by Green Bridge Lanka (Pvt) Ltd (PV 00259893), sets out the following Terms & Conditions governing bookings, payments, cancellations, and refunds.

  1. Booking & Confirmation
  • All services are subject to availability at the time of confirmation.
  • A booking is considered confirmed only after receipt of the applicable advance payment (if required) or written confirmation, depending on the service type.
  1. Payment Terms

2.1 Hotel Bookings (Peak Season)

  • A 30% advance payment is required to confirm hotel reservations and secure tour services.
  • The balance payment must be settled no later than 7 days prior to arrival.
  • All hotel reservations are subject to availability and individual supplier policies at the time of confirmation.

2.2 Transportation Services (Transportation-Only Bookings)

Flexible payment options are available, as advance supplier payments are generally not required:

  • Option A:
    20% advance to confirm the booking, 50% payable on arrival, and the balance before the final tour day.
  • Option B:
    15% advance to confirm the booking, with the balance payable on arrival.
  • Option C:
    Full payment on arrival (subject to availability and confirmation).

2.3 Activities & Excursions

  • Certain activities require 100% advance payment due to limited availability.
  • These may include safari jeep bookings, scenic train tickets, whale watching (seasonal), hot air ballooning, private guides, and other pre-booked or special-permit activities.
  • Payments for such activities are non-refundable or partially refundable, strictly as per supplier terms and conditions.
  1. Cancellation Policy

3.1 Hotel Cancellations (Peak Season)

  • More than 21 days prior to arrival: Deposit refundable, less applicable bank charges.
  • 14–21 days prior to arrival: 50% of the deposit will be retained.
  • 7–13 days prior to arrival: 75% of the deposit will be retained.
  • Less than 7 days prior to arrival / No-show: 100% of the deposit will be retained.

3.2 Activities & Other Services

  • Cancellation charges for prepaid activities and services are governed strictly by supplier-specific policies.
  • Amendments or cancellations may result in additional charges, depending on supplier terms and availability.
  1. Refund Policy

4.1 Eligibility for Refunds

Refund eligibility depends on the following factors:

  • The type of service booked
  • The timing of cancellation
  • Supplier-specific policies (hotels, transport providers, activity operators)

Certain services may be non-refundable or partially refundable, particularly during peak seasons or for prepaid and special-permit activities.

4.2 Hotel Bookings

  • Refunds for hotel bookings are governed by the Cancellation Policy applicable at the time of booking.
  • During peak seasons, cancellation charges may apply as per hotel and supplier rules.
  • Any refundable amount, after deducting applicable cancellation fees and bank charges, will be processed accordingly.

4.3 Transportation Services

Transportation-only bookings may be eligible for refunds depending on:

  • Advance payments made
  • Timing of cancellation
  • Confirmation status

Refund eligibility and applicable charges will be communicated at the time of booking confirmation.

4.4 Activities & Excursions

Activities requiring full advance payment (including safari jeeps, scenic train tickets, whale watching, hot air ballooning, private guides, and special permit activities) are:

  • Non-refundable or partially refundable, strictly as per the respective supplier’s terms.

Once such services are confirmed, refunds may not be possible.

4.5 Refund Processing

Refunds, if applicable, will be processed back to the original payment method used by the customer at the time of payment.

Refund processing time: 7–14 working days, subject to bank or card issuer timelines.

(This applies to all payments made via online payment gateways, including credit and debit card payments).

4.6 Non-Refundable Situations

Refunds will not be issued in the following situations:

  • No-shows
  • Last-minute cancellations outside the permitted cancellation period
  • Services already utilized or partially utilized
  • Bookings clearly marked as non-refundable at the time of confirmation

  • All payments will be acknowledged with an official receipt.
  • By confirming a booking, guests agree to these Terms & Conditions.
  • Supplier policies may override parts of this document where explicitly stated.
